Position Overview:
We are seeking an ethical, highly organized, and personable Surgery Scheduler and Patient Educator to guide patients through their medical, surgical, and cosmetic treatment journeys.
This role is ideal for someone who enjoys educational sales and relationship-building. You will help patients understand physician-recommended treatment plans, prepare accurate quotes, answer nonclinical questions, coordinate procedures, and provide thoughtful follow-up so patients feel confident moving forward.
This is not a high-pressure sales position. We are looking for someone who can educate patients honestly, communicate value clearly, respect patient decisions, and provide consistent follow-through.
Previous surgery scheduling experience is preferred, but we are willing to train an exceptional candidate who demonstrates strong communication skills, sound judgment, attention to detail, and a genuine commitment to patient care.
Key Responsibilities:
- Guide patients through the treatment journey established by their physician.
- Explain treatment logistics, pricing, payment requirements, scheduling steps, and general expectations in a clear and professional manner.
- Prepare accurate patient quotes and review fees with transparency and sensitivity.
- Educate patients about physician-recommended services without making clinical recommendations or using high-pressure sales tactics.
- Follow up with patients who are considering treatment, answer questions, address nonclinical concerns, and help them determine their next step.
- Schedule medical, surgical, and cosmetic procedures.
- Coordinate with physicians, surgery centers, hospitals, anesthesia providers, and other members of the care team.
- Communicate preoperative and post-treatment instructions as directed by the clinical team.
- Confirm that required medical clearances, consents, photographs, payments, and documentation are completed on time.
- Maintain accurate procedure calendars, patient records, quotes, and follow-up notes.
- Track prospective and scheduled patients to ensure no one is overlooked during the treatment-planning process.
- Provide outstanding service by phone, email, text, and in person.
- Assist with front-desk scheduling and telephone coverage when needed.
- Protect patient privacy and handle financial and medical information with discretion.
- Contribute to an organized, supportive, and positive office culture.
Qualifications:
- Previous surgery scheduling, treatment coordinating, or medical scheduling experience is preferred.
- Experience in ENT, dermatology, plastic surgery, cosmetic medicine, or aesthetics is a plus.
- A background in consultative sales, hospitality, customer service, or patient coordination is helpful.
- Exceptional verbal and written communication skills.
- Strong organizational skills and close attention to detail.
- Ability to manage multiple patients, deadlines, calendars, and follow-up tasks simultaneously.
- Comfortable discussing treatment fees and financial policies professionally and accurately.
- Able to communicate confidently while remaining compassionate, ethical, and respectful.
- Reliable, accountable, and consistent with follow-through.
- Comfortable learning medical terminology, procedures, and practice protocols.
- Basic knowledge of medical terminology is preferred but not required.
- Able to work collaboratively with physicians, clinical staff, administrative staff, and outside facilities.
